You set the fax machine to automatically pick up the call after a number of rings. If you want to answer the call with the phone, then you would pick up the receiver to answer it.
Answering the office phone within 2 rings is preferred. But not if you're just visiting that office.

Make sure that you have separate phone line for you fax machine and separate for your telephone. If not, even normal calls will make your fax machine rings.
I once counted 36 rings before the phone quit ringing. I didn't get a message, the line just went dead.
People answer the phone differently. Some people grab it after the first ring. Many people check caller ID first before deciding whether to answer. Still others wait 2 or more rings even when sitting right near the telephone. And, some people don't answer; they let voice mail or answering machine pick it up.
